Friday (10/24): 10:00am – 5:00pm
Saturday (10/25): 9:00am – 5:00pm
Sunday (10/26): 9:00am – 4:00pm

As a Presenter (doing a talk/panel/demo), you will receive a "Presenter" badge, which grants you admission to LBX for all 3 days. Please note that your badge does not give you early entry or late access to the exhibits/show floor.

Presenter Do's and Don'ts

Please make sure when you are presenting you are speaking directly into the microphone to be heard clearly. Leaning forward and projecting your voice will be helpful so everyone in the room, including those in the back, will be able to hear you.

When your panel is over, please be mindful of the next group that will be using your room. If you are interested in continuing your conversations with attendees after your panel concludes, please direct them to meet you outside the Civic Auditorium where there is a lot of room to be able to connect with everyone who would like to chat. This way you can decide how much time you have to offer to attendees after your presentation concludes.

Presentation Info

If you are organizing a panel, please make sure ALL OF YOUR PANELISTS know their times and locations. We do not have contact with every panelist in this situation.

Please arrive at least 1 hour early at LightBox Expo to allow yourself enough time for your transportation to the event as well as to find your room location when on-site.

You need to be at your room location at least 30 minutes prior so you'll have time for tech check and prep.

NOTE: if your presentation is at the start of the day, you will be allowed into your presentation room 30 minutes prior to the start of the show.

If you need a template for your presentations, we have created a PowerPoint document that you can download and use to help you. Click HERE to download it.

Presentation Files

Each room will have a screen, speakers and projector, and various hookups for laptops, so you can plug in and do your thing.

Please DO NOT rely on the WiFi for your presentation. Please bring your presentation on a flash drive or on your own laptop.

If you’re not bringing your own laptop, know that we’ll have laptops available in each room, but we might not have the exact same software available on site that you used to create your presentation. As a result, we highly recommend to avoid using any fancy fonts, animations or transitions from your PowerPoint/Keynote software might not carry over. As long as it’s baked into any images or videos that you imported into the software, there shouldn’t be a problem.

As a fall-back solution, you can take these steps to make sure your presentation file can be opened on site:

  • Upload your PowerPoint presentation to your Microsoft OneDrive or your Keynote presentation to your Apple iCloud
  • Log in to your OneDrive or iCloud account at the expo on the day
  • Open the file directly from the OneDrive or iCloud (don’t download it) and start presenting

Additional Panel Staff + Attendees

If you have support staff with you (social media manager, someone to take photos, etc), please note they will not have a seat in the panel room. You may escort them into the room with you, but they will need to stand at the back of the room as we are not able to take seats away from attendees to accommodate.

If you have someone who wants to see your panel, they will need a ticket for the panel (to reserve their seat) as well as their own LBX badge to attend the event itself. You can request a panel ticket for your talk in advance of the show by emailing Rochelle (rochelle@imaginismstudios.com)

LBX Mobile App (highly recommended) + Maps

LBX Mobile App
Please download the LightBox Expo Mobile App (Apple App Store or Google Play). This way you will have ALL the show info and SEARCH anything you'd like about the event. There's also a map that will show you where you are in relation to all the buildings.

Maps
The mobile app includes maps of the show, but you can also visit the Show Maps page on the LBX website.

Social Media Graphic Templates

We would love for you to spread the word using the hashtags #LBX2025 and #lightboxexpo, and please tag @lightboxexpo in your posts! Guest Lounge (Presented by MAKE Originals)

Want to go somewhere quiet and peaceful to get away for a minute? Or need complimentary water, soda, coffee, and/or snacks? Come to the LBX Guest Lounge in Ballroom H! Only EXHIBITOR, PRESENTER, GUEST, and SPONSOR badges are allowed in, so it's also a great place to have good quality networking and conversations. The ENTRANCE is located on the show floor in between booths 921 and 925 (View Map)!

Hotels and Transportation

Hotel Discounts
Our official hotel booking partner is GTA Meetings where you can find a list of exclusive hotel discounts

Transportation From The Airport
Because of the high cost of taxis, we suggest using a Ride Share app (Uber or Lyft) to get to your hotel.

Parking (as needed)
Parking at the convention center is run by a separate company and they charge about $15/day. Here's a link to all the various parking lots in the area as well.

WARNING: Beware of Scam Emails

Every year, spammers and scammers will send emails about things like booking hotels or buying the LightBox Expo attendee list.

Please know these emails are ALWAYS scams!

The only emails you will receive are from us (with an @lightboxexpo.com or @imaginismstudios.com email address) or from our official show decorator, Show Ready Expo (with an @showreadyexpo.com email address).
